Why Report Subscription Emails Must Be Sent to Registered and Confirmed Users
Call Center Dashboards provides report subscriptions so clients can automatically receive important call center reports by email. These reports help managers, supervisors, and business owners stay informed without needing to manually run the same reports every day, week, or month.
Starting with our June update, report subscription recipients must be selected from registered and confirmed users in the system.
This change was made to improve reliability, reduce delivery problems, and keep support costs low for all clients.
The Problem with Manually Entered Email Addresses
In the past, users could enter email addresses manually when setting up report subscriptions. While this offered flexibility, it also created avoidable problems.
A simple typo in an email address could cause a report not to be delivered. In other cases, an email address may have been outdated, unconfirmed, blocked by spam filtering, or entered for someone who was not an authorized user of the system.
When this happened, our support team had to investigate why the report was not delivered. Many of these support cases were not caused by the reporting system itself, but by incorrect or unsupported email addresses.
Over time, these avoidable issues created unnecessary support time and cost.
Our New Approach
To make report delivery more reliable, report subscription recipients must now be registered and confirmed users.
This means the email address must exist in the system, the recipient must confirm the email address, and the user must be authorized for the client account.
This process helps confirm that the email address is valid before reports are sent to it.
How to Add an External Email Address
If a client needs to send report subscriptions to an external email address, an Administrator can add that external email address in the Users section.
Once added, the recipient will receive a confirmation email. The recipient must confirm the email address before it becomes available for report subscriptions.
After confirmation, the email address can be selected as a report subscription recipient.
Keeping Costs Low and Support Focused
One of our goals is to keep Call Center Dashboards affordable while still providing strong support to registered users.
The best way to do that is to support report delivery to registered and confirmed users only.
A registered client user receives the report and receives support from Call Center Dashboards. If that user wants to distribute the report to additional people, they can do so through their own email system.
This is usually very easy to manage with email rules. For example, a user can create an Outlook rule that forwards report emails based on the email subject line, report name, or sender.
Why Client-Side Forwarding Makes Sense
Once Call Center Dashboards successfully delivers a report to a registered and confirmed user, any additional forwarding is best handled by the client.
This gives the client control over who receives the information internally or externally. It also keeps responsibility for forwarding rules, external recipients, mail filtering, and delivery issues within the client’s own email system.
This is important because Call Center Dashboards is not charging clients to manage unlimited third-party email distribution, external recipient troubleshooting, or forwarding failures outside of our platform.
A Fair and Reliable Policy
We believe this is a fair approach.
Call Center Dashboards delivers reports to registered and confirmed users. Those users are covered by the subscription and support model. Clients who want wider distribution can forward the reports using their own mail system without needing us to manage those external delivery paths.
This keeps the system clean, reliable, and easier to support.
It also helps us keep costs low while continuing to provide strong service to the users who rely on Call Center Dashboards every day.
